DOCUMENTS & OCR

Choose text extraction or OCR for your document

A PDF is a container, not a guarantee that its words are editable. One file may contain actual text while another contains only photographed pages. Choosing the correct reading method saves time and reduces the risk of exporting an empty or badly ordered document.

Start with the selection test

Open the PDF in a viewer and try selecting a sentence. If individual words can be selected and copied sensibly, begin with ordinary text extraction. If selection produces only a picture or nothing at all, the page probably needs optical character recognition (OCR). Some PDFs mix selectable pages with scans. A file can also contain an invisible, inaccurate OCR layer, so successful selection does not prove that the words are correct.

Read a short sample first

In PDF tools, choose an unlocked PDF and start with a small page range when possible. Check the reading report before exporting a long file. A permission-protected, damaged or unusually large file may not be readable in the browser. Do not assume that a blank result means the original page is blank. Try the appropriate scan-reading mode, inspect a sample and keep the source open for comparison.

Match language and layout to the source

OCR has to distinguish similar shapes, such as the digit 1 and the letter l. Select the source language rather than the language you want to translate into. For a photographed page, correct rotation and select the relevant text area before recognition. Columns, footnotes, tables and vertical writing require particular care: the engine can recognise words correctly while putting them in the wrong order. For a single image, Image to text provides cropping and layout choices.

Proofread the fields with the greatest consequences

Compare names, dates, prices, account references and negative words directly with the original. A single missing 'not' can reverse a sentence. Read table rows across their headings and verify that numbers have stayed beside the right labels. Urdu and Chinese text need a language-aware review; a confident-looking paragraph can still contain wrong characters. Never use a high confidence score as a substitute for checking an important record.

Know what the Word export contains

Azzy Studio's PDF-to-Word workflow creates an editable document from extracted text. It does not promise a duplicate of the original page design. Images, signatures, complex tables, text boxes and exact line breaks may need rebuilding in a document editor. Edit the extracted text before saving when you need to correct mistakes. If some pages failed, review the report and deliberately choose whether a partial export is useful.

Keep translation separate from extraction

First produce an accurate transcript in the source language. Only then send the text to the translator. Combining an OCR error with an automatic translation makes it harder to find where meaning changed. Extraction runs locally, while online translation sends the selected text to a translation provider. Read the Privacy Policy and avoid transmitting confidential records unless you have permission and understand the service being used.
